Keeping an attendance list - initial configuration

What you need to know

FELIX offers you the option to keep attendance lists online and to document absences. Attendance records are kept for each course.

To be able to use this option, you first have to configure your course, namely:
1.) activate absence recording in your course, and
2.) create a lesson block for each course for which an absence is to be recorded.

In order to be able to use absence recording, you need coach rights in addition to owner rights in the desired course.

The procedure for the actual recording of absences is described in Helpcard 20-145.

What you have to do

  1. First make yourself a "coach". You must have this role to be able to record absences.

    • Under "Administration", open the "Members management".

    • Click on the 3-dot menu behind your username.

    • Select the option "Edit member".

    • At "Member rights course" activate besides the option "Owner" also the option "Coach".

  2. You must activate the absence management once.
    Under "Administration" click on "Settings" and in the "Execution" tab activate the option "Enable lectures and absence management" under "Configuration of lectures and absence management in course", then save your settings.

  3. For each lesson in your course, you must create a lesson block with lesson.
    To do this, bring up "Lessons and absences" under Administration.
    To create a weekly course, you can either create a "New lesson block" and duplicate it for other courses (next step), or import several "lesson blocks" (Excel import: next but one step).

    • If "Lessons and Absences" is not displayed, try reloading the page first.

    • The settings will open.

  4. To create lesson blocks directly in FELIX, click on "Create new lesson block" in the "Lesson blocks" tab.

    • Assign a title (e.g. Lesson 1) and leave number 1 in place at Planned lessons.

    • You can also create lesson blocks with up to 12 lessons. This makes sense if you want participants to be able to miss individual lessons from a lesson block without being recorded as absent for the entire lesson block.

    • Leave attendance at mandatory unless the block is voluntary and should not be included in the calculation.

    • At Teacher, select the people who will record absences in the course and uncheck the "No coaches yet" option.

    • Only persons who also have coach rights in the course will be displayed under "Teacher".

    • Under "Course / Groups / Curriculum", select the appropriate group of people (e.g. entire course or specific group(s)) for which this block of lessons is intended. For SLC instructors: be sure to select your course group here (e.g. TN English_HealthCare_B2.1).

    • Select the first course date.

    • Save.

    • After creating the first lesson block, you can duplicate it for each of your course lessons by clicking on the 3-dot menu at the bottom of the table on "Copy".

    • Then click on the pencil icon in the copied block to customise the title and other options, particularly the lecturer, group and date.

  5. Download the Download file:Excel Import template and click "Activate editing".

    • In the "Fill in" spreadsheet, fill in the corresponding metadata as well as the teaching units (date in the format dd.mm.yyyy as well as start and end) according to the example.

    • Switch to the "Copy" spreadsheet.

    • Copy columns A-M, e.g. with CTRL + C, to your clipboard.

    • Open "Import lesson blocks" in FELIX.

    • Paste the copied contents e.g. with CTRL + V.

    • Click on "Next" then "Finish".

    • The lesson blocks will be inserted.
