Keeping an attendance list in your course

What you need to know

FELIX offers you the option to keep attendance lists online and to document absences. Control of attendance is kept for each course.

By default, FELIX assumes that participants were present. Absences must be explicitly recorded as such.

In order to be able to use absence recording in your course, you must first configure your course (see Helpcard 20-140).

What you have to do

  1. To record absences for an event date, click "Lectures" in the toolbar at the top of the course.

    • The overview of the already created lecture blocks appears.

    • Current lecture blocks are marked in orange   ,
      pending lecture blocks are marked in red
      and completed lecture blocks are marked in black .

    • Lecture blocks whose start date is in the future, cannot be edited. Planned absences can therefore not be recorded in advance.

  2. Now click on the "book icon" in the "current" or "pending" lecture block at the back of the table.

    • The participants of the event will be listed for you.

  3. An absence is set by activating the corresponding checkbox (e.g. L.1) or by clicking on "All" (if the absence applies to all lectures of a lecture block).
    Subsequently, it can be defined whether the absence was excused or not.

    • A reason must be added for an excused absence.
      With the post-it icon behind the "Excused" check mark, you can change or add to the reason afterwards.

    • Furthermore, a comment can be added to each person-related absence. This comment is visible in the absence control for lecturers (course coaches) and in the evaluation for the course owner. The course participants do not see this comment.

  4. Finish the lecture if you have recorded all absences.
    Only completed lectures will then be included in the display of the participants overview. (see Helpcard 20-150, steps 1 and 2).

    • With "Intermediate save" the current status of the absence control is saved and the recording can be continued at a later time.

    • If there are changes afterwards, e.g. a subsequently submitted certificate, you can "Reopen the lecture" via the book icon and the corresponding button.

    • If a date has been cancelled, e.g. because the lecturer was ill, the option "Cancel lectures" should be selected. Here the reason "Cancelled" must be selected.

  5. Provided there are no further "pending" lecture blocks, you have successfully completed the absence recording.
