Edit and manage multiple courses (learning resources) at the same time

What you need to know

If you manage several courses (learning resources), you can perform various actions for several learning resources or courses at the same time in the authoring area using the so-called "Bulk actions".
The following collective actions can be carried out:

- Send emails to all participants of the selected courses
- Change the status of all selected courses
- Add or remove owners from all selected courses at the same time
- Change metadata and settings (e.g. implementation period) of all selected courses
- Copy several courses at the same time
- Delete several courses at the same time

What you have to do

  1. Open the "My courses" or "My entries" tab in the "Authoring area".

    • "My courses" only contain courses, while "My entries" also contain other learning resources such as tests, forms, videos etc. in addition to the courses.

  2. Select the courses or learning resources that you want to edit with the respective bulk action by clicking on the box in front of the respective title.

    • The possible bulk actions are listed above the table after selecting a course or learning resource.

  3. Bulk action application scenarios

    Scenario 1 - You want to send emails to the participants of several courses (learning resources)?
    1. After selecting the courses (learning resources), click on the "Send e-mail" button.

    2. Select who you would like to send the email to ("All course owners", "All coaches" and/or "All participants"), enter a clear subject and your message. If necessary, you can also attach an attachment.

    3. Then click on Send e-mail.

    Scenario 2 - You want to change the status of several courses (learning resources)?
    1. After selecting the courses (learning resources), click on the "Change status" button.

    2. Select the status that all selected courses (learning resources) should receive.

      • Possible statuses:
        - Preparation - course is in progress - only course owners have access
        - Review - course is ready for correction - only course owners have access
        - Access for coach - only course owners and coaches have access
        - Published - course can be viewed and, depending on the booking method, can only be booked/"entered" by third parties
        - Finished - read-only mode for all participants on the member list

    3. Then click on "Change".

    Scenario 3 - You want to register or de-register owners in several courses at the same time?
    1. After selecting the courses (learning resources), click on the "Modify owners" button.

      • In the first step you can remove existing contributors, in the second step you can search for and add new owners, in the third step the changes are displayed again and in the last step the respective persons are informed about the changes if desired.

    2. Make the desired changes, click "Next" in each case and then select "Finish" to apply the changes and send the info email if necessary.

    Scenario 4 - You want to change the metadata and settings of several courses (learning resources)?
    1. After selecting the courses (learning resources), click on the "Metadata and settings" button.

      • You now have the option of making changes in various areas of the course settings for all selected courses:

        - "Metadata": Here you can enter information such as lecturers of the course, language of the course, type of course.
        - "Administrative access": This setting is irrelevant except for the courses of the School of Languages and Cultures.
        - "Authors rights": This is where you set the rights "authors" have to your course in FELIX. In exceptional cases, for example with course templates, it makes sense to allow other authors to copy the courses.
        - "Execution": Here you can enter the implementation period (e.g. the current or upcoming semester) and the implementation location.
        - "Toolbar": Here you select the modules that the "toolbar" of all courses should contain.

    2. Make the changes in the desired areas and then click on "Next".

    3. Confirm your settings with "Finish".

    Scenario 5 - You want to copy several courses (learning resources)?
    1. After selecting the courses (learning resources), click on the "Copy" button.

      • You will be asked whether you would like to copy the selected learning resources.

    2. Confirm with "Yes" or cancel the process with "No".

    Scenario 6 - You want to delete several courses (learning resources)?
    1. After selecting the courses (learning resources), click on the "Delete" button.

      • You will be asked whether you would like to delete the selected learning resource.

    2. Confirm the marking of the courses (learning resources) as deleted.

    3. If necessary, deactivate the email notification to the co-owner about the deletion.

    4. Confirm the deletion process with "Delete" or cancel the process.
