Setting up an appointment allocation system (old version)

What you need to know

The course element "Appointment allocation" enables a digital allocation of appointments, e.g. for the organisation of consultation hours or the allocation to practice groups.
Students can register individually or in groups (the size of which can be defined) for predefined appointments.
Note: The module can no longer be inserted as of version 15.1.2. Existing appointment assignments can still be used.
Use for your appointment scheduling the new module
"Insert appointment scheduling".
 

What you have to do

  1. In your course, click on "Course editor" under "Administration" (top left).

    • The course editor will open.

  2. In the course structure (left), activate the course element under which the new element is to be inserted.
    Under "Insert course elements" (above), select the element "Assignment of appointments". You will find it in the category "Other".

    • You can also move the course element afterwards by dragging and dropping.

  3. In "Title and description" in the "Short title" and "Title" area, enter the title that should be displayed in the course structure (left) or in the course view in the middle. "Save" your entries.

    • The "Title in course menu" will be displayed in the menu on the left. Since the menu has a fixed width, a maximum of 25 characters is recommended.

    • Under "Insert additional information" below, you can enter, for example, learning objectives and instructions for learners.

    • Under "Visibility" and "Access" you can regulate the visibility and access to the block if required, e.g. depending on the group or date (see HelpCard 30-002).

    • Under "Configuration" you can create appointments and manage the created appointments as well as the registered participants.
      We recommend that you do this in the course view in the future to avoid unnecessary publishing.

  4. Click the red cross (top right) to close the course editor. Select the "Publish automatically" option to publish the change. 

    • The new element is not displayed in the course view until it has been published.

  5. Select the appointment assignment element in the course view and click "Manage appointments", then "Create appointment(s)" at the top to add new appointments.

    • If necessary, you must click on the "Appointment allocation" module again to update the view.

    • Students can use "Enroll" to register for one of the created dates.

    • Only when the already past appointments are deleted, it is possible for this student to take another appointment again.

      For students who need another appointment as soon as possible, we recommend that you manually enter the student via "Manage participants" and/or delete the past appointment blocks promptly.

    • If you set a calendar in this course or if a calendar already exists, the dates of the "Appointment allocation" will automatically be (co)displayed in the calendar.
