HFU Account and two-factor authentification (by Smartphone app)

What you need to know

You have received a new HFU account.

Please note that from now on you will need two-factor authentication to generate a one-time password every time you log in to our services (in addition to your HFU account). The simplest option we recommend is to use your smartphone to generate one-time passwords. To do this, you need to install the Microsoft Authenticator app (or another authenticator app of your choice) on your smartphone. This app must be kept on the smartphone and must NOT be deleted. This can be done without hesitation, as the app only generates a numerical code (one-time password) and does not transmit or store any other (personal) data.

Below we will show you how to carry out two-factor authentication, install the app and complete the initial authentication process.

What you have to do

  1. First-time login/registration:
    We recommend the use of a workstation/PC/laptop:

    • You will be taken to the start page of the new HFU registration. Read everything carefully and then click on the "Start now" button (see Figure 1.1).

    • The start page with the Microsoft login opens. Enter your new Loginname@hs-furtwangen.de here.
      For students, the login name is: Loginname@stud.hs-furtwangen.de
      Click on "Next" (see Figure 1.2).

    • Enter the initial password and click on "Log in" (see Figure 1.3).

    • Click on "Next" (see Figure 1.5).

  2. Once you have successfully registered, you will now be prompted to install the app on your smartphone.

    • If you are already using or want to use a different app, install it and click on "I want to use a different authenticator app", see Figure 2.2.

      If you want to choose a different method, click on "I want to set up a different method", see Figure 2.3).

      If you would like to use a hardware token (only for HFU employees), please write a ticket to Email application is started:it-support(at)hs-furtwangen.de with the keyword "Hardware token".

  3. If you have not yet installed an authentication app on your smartphone, we recommend the Microsoft Authenticator app. Proceed as follows (if you already have an Authenticator app installed, continue with step 4).

    • Depending on the app installed, the following steps may differ from this procedure.

    • Open the App Store or Play Store on your smartphone and install the app (see illustrations).

    • Follow the respective instructions and click on the blue button, confirm with "Next" if necessary.

    • Select "Business and school account".

    • Now select "Scan QR code" and scan the QR code that is displayed in the browser window.

  4. Switch back to the browser on your workstation/PC/laptop and complete the process you started in step 2 as follows.

    • If you have installed the Microsoft Authenticator app, click "Next" (see Figure 2.1 above).

      If you have another app or method, click as described above (see Figure 2.2 or 2.3).

    • Follow the instructions by clicking "Next" .

    • You will now be asked to scan the QR code with your smartphone.

  5. Take your smartphone and scan the displayed QR code with the installed app as prompted.

    • Under "Business, school or university account", select the "Scan QR code" option (see Figure 5.1).

    • If necessary, allow access to the camera (see Figure 5.2).

  6. Switch back to the browser on your workstation/PC/laptop. The authentication is confirmed. Click on "Next".

    • A number will now be displayed.

    • Depending on the app installed, the remaining steps may differ from this procedure.

  7. Switch to the smartphone app and enter the number (two-digit number) in the input field.
    Confirm the entry with “Yes”. (see Fig. 7.2).

    • After successful verification, you will return to the account overview.

    • Please note that you must verify the Microsoft Authenticator app login with your device PIN (PIN, pattern, fingerprint, etc.) (see Fig. 7.3 for an example from an iPhone).

  8. Your account in the smartphone app has been successfully created and registered in the HFU account.

    • You will receive a message in the browser of your workstation/PC/laptop telling you you have been successful.

  9. In future, you will have to log in with your HFU account every time you log in to one of our university services and enter the one-time password generated via the app on your smartphone in order to verify your identity.

    • Please note that you will always need your smartphone to log in.
