What you need to know

As a moderator, you have several additional options, such as changing your own settings, contacting individual participants via chat, temporarily restricting or extending participant rights, backing up chat history, etc.

You automatically receive moderator rights by opening the room via the
"External link opens in a new window:digital campus" and by pressing the green "Enter room" button in the room overview.

If you use the "Copy link" button, you enter the corresponding room in participant status.

For a quick overview of the following functions:
- Switch to (sub)room or see who is attending the meeting
- Adjust volume
- Turn microphone and camera on / off
- Leave meeting room

Please note: If you join alfaview via a browser, only "Screen" and "Second camera" (if connected) will be available.

The starting point is an existing connection to an online lecture room or a central services room, i.e. you are in a room of your faculty or a room of a central university service.

What you have to do

  1. Perform as moderator

    Activate moderator
    1. Display participants list to perform moderator functions.

    2. Click on the "Open participant list" icon - "Two-person icon" -
      (1st icon from the left in the toolbar at the top right).

      • In a window on the right, all rooms and subrooms (groups) with possible participants open.

    3. Hover the mouse cursor over yourself or the name of the participant in question in the list of participants to be able to carry out certain functions (see the following steps).

    2. Click the microphone or camera icon to allow or disallow the microphone or camera of the corresponding person.

    3. If you allow or disallow microphone and camera at this point, clicking on the corresponding icon in the toolbar in the middle will have no effect.
      For example: You have deactivated the camera for yourself or another person at this point. You can only reactivate it at this point for yourself or the other person.
      The corresponding icon is red at this point when it is deactivated.

    4. Click the star icon to activate or deactivate your or another person's VIP status.

    5. If the VIP status is active, the participant is highlighted:
      The video will be placed first in the video order (if there are only VIPs, the video will appear in the order of entry).
      With VIP rights, the video image has a better quality.

    6. Click on the three vertical dots, for example, to:
      - Write a message to another person
      - Allow or disallow the above settings at this point
      - Allow or disallow a person to share the screen
      - Pop out the video image of the corresponding person as an extra window (which can be moved)
      - Remove this person from the room

    2. Highlight a participant (assign VIP rights)

      • Hover the mouse over the name of the desired person in the list of participants.

      • Click the star icon to enable VIP status for this person.
        (Default for participant status of the person: Off).

      • The person now has VIP status, visually recognisable by the blue star icon.

      • Click the star icon again to end the person's VIP status.

    3. Disable/enable a participant's microphone

      • Hover your cursor over the name of the desired person in the list of participants.

      • Click the microphone icon to disable the microphone for this person.

      • The person can now no longer be heard, visually recognisable by the red microphone symbol.

      • Click the microphone icon again to allow the person to use the microphone again.

      • At this point, the setting has priority, which means that the microphone icon in the person's toolbar has no effect.
        You, as the moderator, control this setting here.

    4. Disable/enable a participant's camera

      • Hover your cursor over the name of the desired person in the list of participants.

      • Click the camera icon to disable this person's camera.

      • The person can now no longer be seen, visually recognisable by the red camera icon.

      • Click the camera icon again to allow the person to use the camera again or to make their video image visible.

      • At this point, the setting has priority, which means that the camera icon in the person's toolbar has no effect.
        You, as the moderator, control this setting here.

    5. Disable/enable screen sharing for a participant

      • Hover your cursor over the name of the desired person in the list of participants.

      • Click the three vertical dots and uncheck the "Allow screen sharing" option (default: Allowed).

      • Click the three vertical dots again and check the "Allow screen sharing" option to allow the person to share their screen.

    6. Send a message to participants in group rooms

      This function is suitable, for example, for distributing group work and/or "bringing back" groups.

      With this function you can send a message to one or to all groups (rooms) - regardless of whether you yourself are in the main room or in one of the sub-rooms (groups).

      First, we will describe how you can write a message to all groups.
      This only works via the "main room" (= superordinate room, e.g. IMZ).

      • Click the three vertical dots after the name of the main room (see Fig. 1.1).

      • Two options are displayed.

      • Select the "Short messages to all groups" option to contact all groups.

      • Type your message in the "Type message" window.

      • Click on "Send" below the input field.

      • You will receive confirmation when the message has been sent (see Fig. 1.2).
        In Fig. 1.3 you can see the participant's view.

      • To contact only one group, find the group in question and click on the three vertical dots there.

      • Select the "Short message to this group" option to contact this group.

      • Write your message in the "Type message" window.

      • Click on "Send" below the input field.

      • You will receive confirmation when the message has been sent.

    7. Send a message to a particular person

      Whether you are in the main room or in a group in a room, you can send messages to individual participants.
      This function also allows participants to contact the moderator, for example, to show they want to say something.

      • Hover your cursor over the name of the desired person in the list of participants.

      • A small selection menu will be displayed.

      • Click on the icon with the three dots.

      • Click on "Write short message".

      • Type your message in the "Type message" window.

      • Click on "Send" below the input field.

      • You will receive confirmation when the message has been sent.

    8. Export chat history

      • Click on the "Open group messages" icon (chat icon).
        (2nd icon from the left in the toolbar at the top right)

      • Right click on the chat history (mobile version: double-click) to copy it.

      • Click the chat icon again to close the group messages.

    • Click on the "Open participant list" icon - "Two-person icon" -
      (1st icon from the left in the toolbar at the top right).

    • In a window on the right, all rooms and subrooms (groups) with possible participants open.

    • Hover the mouse cursor over yourself or the name of the participant in question in the list of participants to be able to carry out certain functions (see the following steps).
