Inserting appointment scheduling element

What you need to know

The "Appointment scheduling" course element enables the digital organisation/allocation of appointments, e.g. for the organisation of office hours, and for finding suitable appointments. This applies to the organisation of both face-to-face appointments and online appointments.
You need the "Appointment scheduling" course element only once and can then create various so-called occasions (appointments).
It is possible to configure appointments so that ...
... they can be booked by single or multiple students.
... a maximum number of students is allowed per appointment.
... students can select either only one or several appointments.
 

What you have to do

  1. In your course, click on "Course editor" under "Administration" (top left).

    • The course editor will open.

  2. In the course structure (left), activate the course element under which the new element is to be inserted.
    Under "Insert course elements" (above), select the element "Appointment scheduling". You will find it in the category "Administration and Organisation". Alternatively, you can use the "Quick-Add" search function.

    • You can also move the element later by dragging and dropping.

  3. To rename the course element, in the "Title" field enter the title you want to be displayed in the course. If necessary, abbreviate the title in the "Title in course menu" field. "Save" your entries.

    • The "Title in course menu" will be displayed in the menu on the left. Since the menu has a fixed width, a maximum of 25 characters is recommended.

    • Under "Insert additional information" below, you can enter, for example, learning objectives and instructions for learners.

    • Under "Visibility" and "Access" you can regulate the visibility and access to the element if required, e.g. depending on the group or date (see Helpcard 30-002).

    • Under "Configuration", it is preset that coaches may also edit an "Event" and appointments created by you. We recommend you leave this default setting.

  4. Click on the "Configuration" tab and activate the "Owner" at "Organizers".

    • Only if you take this step, can you ...
      ... also hold an online appointment via a BigBlueButton room.
      ...  receive notifications (subscriptions) about booked appointments from students.

    • Subscriptions are collected in FELIX, usually sent once a day. More about this on Helpcard 20-070.

  5. Click the red cross (top right) to close the course editor. Select the "Publish automatically" option to publish the change. 

    • The new element is not displayed in the course view until it has been published.

  6. If you now want to make appointments available to your students for booking (e.g. for office hours, viewing of exam papers, etc.), then follow Helpcard 30-151.
    If you want to find suitable appointments together with your students (as with Doodle), then follow Helpcard 30-152.
