How do I share my video - a decision-making guide

What you need to know

You can share your videos in different ways by combining publishing type (public, hidden, password protected) and the so-called media permissions (for guests, users, moderators, administrators). This FAQ will help you make these decisions.

The following roles exist:
Guest = People without HFU login (anonymous visitors).
User = All members of HFU (with login).
Moderator = Users can become moderators. Moderators have the right to upload videos.
Administrator = Persons with administrator rights.

Please do not remove media permissions from administrators, moderators or users, otherwise the video can no longer be managed by you as a moderator, administered by us as administrators and viewed by users.

What you have to do

  1. Public: Video is accessible to everyone - including non-affiliates of the university (e.g. for marketing purposes, information for prospective students, etc.).
    It should be accessible on the home page, in the categories and via the search function.

    • Set the "Publication" to "Public - the medium is visible to everyone".

    • Leave the default media permissions ("Guest" remains enabled).

    • The video can be accessed without login (as it is also accessible for guests) on the start page, in the categories as well as via the search function.

  2. Open to members of the university: Video should only be available for members (after log-in). It should be available on the home page, in the categories and via the search function or accessible via link.

    • Set the "Publication" to "Public - the medium is visible to everyone".

    • Deactivate the "Guest" in the media permissions.

    • The video can be accessed by HFU members after logging in on the home page, in the categories as well as via the search function or by link.

  3. To embed in your FELIX course we recommend the following variant:
    Playable in FELIX course (without login in the media portal):
    Students of your FELIX course should be able to watch the video directly in FELIX without having to log in to the media portal in the background. The video should not be findable in the media portal on the home page, in the categories or via search function.

    • Set the "Publishing" to "Hidden - this media is only accessible via a direct link".

    • For Media Permission, leave the default setting (all four user groups remain enabled).

    • Embed your video into a FELIX course via embed code (see Mepo Helpcard 10-050).

    • Due to the "guest authorization", your video can now be streamed directly in your FELIX course by your students without them having to be logged into the media portal in the background. Your video is protected by being embedded in your FELIX course. Sharing the video link, embed code or filmed content with third parties is prohibited for students by the terms of use of the media portal.

    • Please be aware that when embedding hidden videos in albums: albums and their contents are (depending on the configuration) accessible only to members of the university or also to the public.

  4. Linked in FELIX course (without login in the media portal): Students of your FELIX course should be linked from FELIX to a video in the media portal. They can access the video without having to log in to the media portal.The video should not be able to be found in the media portal on the start page, in the categories or via the search function. Only people who know the link (e.g. by announcing it in a FELIX course) can access the video.

    • Set the "Publishing" to "Hidden - this media is only accessible via a direct link".

    • For Media Permission, leave the default setting (all four user groups remain enabled).

    • Provide your students with the direct link to the video in the FELIX course (see Mepo Helpcard 10-060).

    • Your video is accessible via the link and can - due to the "guest authorization" - be accessed by your students without logging in. Your video is protected by the embed code in your FELIX course. Sharing the video link, embed code or filmed content with third parties is prohibited for students by the terms of use of the media portal.

    • Please be aware that when embedding hidden videos in albums: albums and their contents are (depending on the configuration) accessible only to members of the university or also to the public.

  5. Linked in FELIX course (with login in the media portal): Students of your FELIX course should be linked from FELIX to a video in the media portal. You can access the video as long as you have logged into the media portal. The video should not be able to be found in the media portal on the home page, in the categories or via the search function. Only logged in persons who know the link (e.g. by announcing it in a FELIX course) can access the video.

    • Set the "Publishing" to "Hidden - this media is only accessible via a direct link".

    • Deactivate "Guest" in the media permissions.

    • Provide the direct link to the video to your students in the FELIX course (see Mepo Helpcard 10-060).

    • Advise your students that they must first log into the media portal, then copy the link into the address bar to access the video.

    • Your video is accessible via the link and can be accessed by your students after successful log-in to the media portal. Your video is protected by the embed code in your FELIX course. Sharing the video link, embed code or filmed content with third parties is prohibited for students by the terms of use of the media portal.

    • Please be aware that when embedding hidden videos in albums: albums and their contents are (depending on the configuration) accessible only to members of the university or also to the public.

  6. Accessible with password and direct link: Like a hidden video, the video cannot be found on the home page of the media portal, in the categories or via the search function.

    • Set the "Publishing" to "Password protected - this media is only accessible via a direct link and password".

    • In the media permissions, you can make the video public ("Guest" remains enabled) or open to the university (disable "Guest" = login required).

    • Then make your video available via direct link and password to the authorized persons, for example in your FELIX course (see Mepo Helpcard 10-060).

    • Your video is accessible via the direct link with the password. Depending on the configured media permission, the video can be accessed with or without logging into the media portal.

  7. Accessible for group in the media portal: video should only be accessible to people who are participants in a - manually created - group in the media portal.

    • Upload your video "hidden" and leave "guest" in media permissions if you want to embed the video in a FELIX course (see Helpcard 10-030).
      Make it accessible for a group (see Mepo Helpcard 10-040).

    • The video is now accessible to students either in the media portal in the created group or after embedding via embed code in the respective FELIX course (see Mepo Helpcard 10-050).

    • If you want to embed the link of the video in a link list (see FELIX Helpcard 30-130), you have to copy the perma-link (not the direct link) in the group in the tab "Media" by clicking on "Share". When sharing the perma-link - even if it is shared with third parties without permission - it can only be opened by group members of the group created in the media portal.
