Uploading hidden videos

What you need to know

The Furtwangen University media portal offers lecturers the opportunity to make videos available.

You can upload videos as follows:
- visible to (university) public (see Helpcard Internal link opens in the same window:Uploading videos - public / university only visibility (MEPO 10-020))
- "hidden" (as described in these instructions)
- "password protected" (see Helpcard Internal link opens in the same window:Uploading password-protected videos (MEPO 10-035))

Furthermore, you can make videos available only to a specific group (see Helpcard Internal link opens in the same window:Uploading hidden videos and making them accessible for groups (MEPO 10-040)).

Hidden videos are not accessible on the start page, in the categories or via search function, but can be made available to students via embed code or link in a FELIX course.

Attention when embedding hidden videos in albums: albums and their contents are (depending on configuration) publicly accessible or accessible for the university.

Formats and file size:
The following video formats are supported by the media portal: .avi, .wmv, .mov, .flv, .mpeg, .mpg, .m4v, and .mp4.
Currently, videos up to 2 GB in size can be uploaded.

What you have to do

  1. Log in to media.hs-furtwangen.de with your HFU account.

    • To be able to upload videos, your user profile must have moderator rights.
      If you do not have the necessary permissions, you must request them via the Service desk in the "Media Portal" queue (click on the “Leave a message” button at the end of this helpcard).

  2. After successful registration, click on the "Upload" button in the upper right corner.

  3. Click "Add file" or drag and drop the video you want to upload.

    • It may be helpful to disable an existing VPN connection to speed up the upload.

    • Legally protected or offensive content is not allowed.

  4. After you have selected your video and it is uploaded, you will need to add some basic information.
    Required fields are marked with *, these include: Title, Description, Tags and Category.

    • Choose a meaningful title for your videos.

    • Add a description text which summarises the content appropriately.

    • Using tags enables your content to be more easily found in the search function. For this purpose, use keywords that are as concise and topic-specific as possible.

    • Assign a category to your videos. This can make it easier to search for your videos. It is also possible to assign multiple categories.

  5. If necessary, you can add a preview image (so-called thumbnail) (possible formats: png, gif, jpg) to your videos. To do this, click the "Browse" button under the tags in the "Thumbnail" section and select an appropriate image in the dialog box that appears.

  6. In the "Publication" area, select the "Hidden" option.

    • Hidden = As a "hidden" video, the video does not appear on the portal homepage and cannot be found in the categories or via the search function.

  7. By means of the "Media permissions" you can restrict the circle of users of your video.
    The default option is the most student-friendly setting.
    If you then provide these hidden videos via embed code in FELIX (see Helpcard Internal link opens in the same window:FELIX and Media Portal hand in hand - embed code (MEPO 10-050)), your students can play the videos directly in FELIX (without being logged in to the media portal). Other people would only be able to access the video if they know the link of the video hidden in the embed code.

    • If you disable "Guests" in "Media Permissions", students must be logged into the Media Portal first to play the videos in FELIX.

    • Avoid deactivating the media permission at "Moderator" for a "hidden" video. By doing so, you remove your own permission to access the media.

  8. If you only want your videos to be visible for a certain period of time, you can set this in the "Time-controlled publication" area. To do this, enter a start/end date or select the date via the calendar at the end of the line.

  9. Click on "Publish" to upload your video.

    • Depending on the file format and file size, there may be a delay before the video becomes visible.

  10. You can find the uploaded video by clicking on "My Media" under your profile (top right).

    • Use the direct link not the perma-link to be able to access your video correctly.
      Access via the perma-link is only possible for you as the owner.
