Collecting consent forms via FELIX for an oral examination

What you need to know

With the help of this guide you can collect consent forms for online exams via FELIX test, even if you do not use FELIX for your exam (for example for an oral exam).

In the copy template of the course (so-called master course), an information page for students is integrated as an aid for filling out the consent form, as well as an email course element for queries that students have for you. The consent form is integrated as a FELIX test. This provides you with a quick overview of who has agreed to the terms of the online test and who has not.

If you are writing an eKlausur@home or a take-home exam, the consent form is directly integrated into the corresponding exam grid (eklausur@home see Helpcard 20-080 / Take-home exam see Helpcard 30-010).

Please note: You need authoring rights for FELIX, which you can request from us via the service desk.

What you have to do

  1. Select the link to the bilingual master course. The consent form with video recording is integrated in this course.

    • If you are testing outside of FELIX, without video recording, then you can use this master course.

  2. Copy the course by clicking on "Copy" under "Administration" in the upper left corner.
    Name the course with your exam date using the following scheme:
    [instructor]_[comprehensible_abbreviation_for course name]_[yyyy]_[mm]_[dd]_EE
    Beispiel: Meyer_BWL_2020_07_28_EE

    • Do not use umlauts and avoid all other special characters except (),/ \,-_.

  3. Open the course editor at the top via "Administration" and then "Course editor".

  4. To rename the course element, enter the title that is displayed in the course in the "Title" field. If necessary, abbreviate the title in the "Title in course menu" field.
    "Save" your entries.

    • The "Title in course menu" is displayed on the left side of the structure. Since the structure is fixed to a certain width, a maximum of 25 characters is recommended.

    • Under "Insert additional information" you can enter e.g. learning objectives and instructions for learners.

  5. Click on "Consent form" on the left and then in the "Access" tab.

  6. Under "Dependent on date", set a deadline by which the declaration of consent must be submitted. The suggested deadline is 7 working days before the exam.

    • Attention when entering the desired date: If you want to ensure that the insurances can be uploaded up to and including 31.01., for example, then you must enter 23:59 in the time (not 00:00).

    • At this point you can extend the access at any time or block it earlier.

  7. Leave the rest of the settings and click the red cross (top right) to close the course editor.
    Select the "Yes, automatically" option to publish the change.

  8. Publish status of the course: in your course, above Status, select "Published".

  9. Define sharing: select the "Settings" under "Administration" and click on the "Sharing" tab. There, select the option "Bookable" for "Access for participants of the organisation". At "Add booking method" select the option "Freely available" and click (without further settings) on "Create".
    For "Participants can withdraw themselves", select "Never".

    • Save your changes! Only if you select and save this setting can students submit the consent form online.

    • Your course is now open to students.

  10. Close the administration with the red cross (top right).

  11. Send the course link to your students, asking them to complete and submit the consent forms directly to the course by the due date (no later than 7 business days prior to the exam).

    • You will find the link to the course at the top centre under "Course Info" (light bulb).
      At the bottom of the screen under "External Link" you will find the direct link to this course.
